This Privacy Policy explains how I4One ("I4One", "we", "us", "our") collects, uses, stores, and protects information when you use the I4One application and related services (the "Service"). By using the Service, you agree to the practices described here.
1. Information we collect
- Account & contact information you provide, such as your name and email address.
- Google account data you authorize us to access through Google APIs (detailed in Section 3).
- Content you create in the Service, such as notes, tasks, and knowledge-base entries.
- Conversation and instruction history you send to the Service so its agents can act on your requests and remember relevant context.
- Operational and diagnostic data (e.g., error logs and usage events) needed to run, secure, and improve the Service.
2. How we use information
- To provide and operate the Service's features.
- To carry out the specific actions you request and approve (the Service pauses for your approval before performing actions that change your data).
- To maintain memory and context that make the assistant more useful to you.
- To secure the Service, prevent abuse, and diagnose problems.
We do not sell your personal data, we do not use it for advertising, and we do not use your Google user data to train generalized or foundation AI/ML models.
3. Google user data & API scopes
With your explicit authorization, I4One acts on your behalf across Google services. We request the following scopes, each used only for the corresponding feature:
Gmail
gmail.readonly— read and triage your email when you ask the assistant to summarize, search, or report on messages.gmail.send— send messages and replies that you direct and approve.
Calendar
calendar— view, create, and update events and manage your schedule on your request.
Tasks
tasks— view and manage your Google Tasks.
Drive, Docs, Sheets & Slides
drive— access files you point the assistant to, and create or update files at your request.documents— read and edit Google Docs you ask the assistant to work on.spreadsheets— read and edit Google Sheets you ask the assistant to work on.presentations— read and edit Google Slides you ask the assistant to work on.
Contacts
contacts— look up and manage contacts to help you address email, invites, and tasks.
Google Chat & Meet
chat.spaces,chat.memberships,chat.messages— read and post in Chat spaces you authorize for assistant coordination.meetings.space.created,meetings.space.readonly— create and read Meet spaces when you ask the assistant to set up or reference meetings.
Photos & YouTube
photoslibrary— access photos you ask the assistant to work with.youtube— access YouTube data you ask the assistant to retrieve or manage.
I4One's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We access only the scopes you grant, use the data solely to provide the features you request, do not transfer it except as necessary to provide those features (or with your consent, or for legal reasons), and do not use it for advertising or to train generalized AI/ML models.
4. How we store and protect data
Your data is held in our managed application databases — a relational database (PostgreSQL), a vector database (Qdrant) used for search and memory, a graph database (Neo4j), and a document store (CouchDB) used for your notes/knowledge base. Connections are encrypted in transit, and access is restricted to the systems and personnel that operate the Service.
5. AI processing
To understand your requests and generate responses, the Service sends the relevant content to large-language-model providers that process it on our behalf, including Google Cloud Vertex AI (Gemini models). These providers process the data to return results to the Service and do not receive your data for their own advertising.
6. Sharing & sub-processors
We share data only with sub-processors that help us operate the Service — for example, cloud hosting/infrastructure and the AI providers named above — under appropriate confidentiality and data-protection terms, or where required by law. We do not otherwise sell or rent your personal information.
7. Data retention & deletion
We retain your data for as long as your account is active or as needed to provide the Service. You can revoke I4One's access to your Google account at any time from your Google account permissions page. You may also request deletion of your account and associated data by emailing us; we will delete it within 30 days, except where retention is required by law.
8. Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us using the details below.
9. Children
The Service is not directed to children under 13 (or the minimum age in your jurisdiction), and we do not knowingly collect their personal data.
10. Changes to this policy
We may update this policy from time to time and will revise the "Last updated" date above. Material changes will be communicated where appropriate.
